How we work
Know the price and the plan before any work starts.
There are two ways in. If you know what you need, we quote it after a free call. If you’re not sure, or several things need fixing, you can start with an operations audit. Either way, you get a written, fixed-scope proposal before any build starts, and you decide from there.
Two ways in
Two ways to start
Both start with the same free call. The difference is whether you already know what to fix.
You know what you need
One clear job, like missed calls or no-shows. You get a written, fixed-scope quote after the call. No audit required.
- Free discovery call
- Written fixed-scope proposal
- Build and test
- Training and handoff
- Results check and optional support
You’re not sure, or several things need fixing
Start with a paid operations audit. You get a ranked plan of what to fix first, and the full fee is credited toward a build you sign within 90 days of getting the roadmap. It’s optional. See what the audit covers.
- Free discovery call
- Operations audit (optional)
- Written fixed-scope proposal
- Build and test
- Training and handoff
- Results check and optional support
Step by step
Every step, in order
What you do, what we do, and what you get at each step. Times are estimates. Your proposal gives the real dates.
-
Step 1: Free discovery call
Free
One call, at a time you pick Estimate
- You
- Answer a few quick questions and pick a time. On the call, tell us where your week goes and what you’d fix first.
- We
- Ask how the work actually gets done. Then tell you plainly what we’d look at first, roughly what it could cost, and whether you need us at all.
- You get
- A straight answer on which path fits: a written quote for one clear job, an audit if you’re not sure, or a fix you can make yourself.
-
Step 2: Operations audit (optional)
Quoted in writing after the call, credited toward a build signed within 90 days
About 2 to 3 weeks from kickoff to roadmap Estimate
- You
- Only if you’re not sure what to fix, or several things need fixing. Give us access to your tools, and time with the people who answer the phones, book the jobs, send the invoices and place the orders.
- We
- Watch real work happen, on site or over a screen share. Review every tool you pay for. Rank what we find by what it costs you and what it takes to fix.
- You get
- A ranked roadmap: what to fix first, what you can do yourself, and what not to automate. Each fix has an estimated cost and payback.
-
Step 3: Written fixed-scope proposal
Free
About a week after the call or the audit Estimate
- You
- Read it, ask questions and change what doesn’t fit. Then decide yes, no or not yet.
- We
- Write down exactly what we’ll build, what it connects to, what it won’t do, and every vendor that will handle your data.
- You get
- The price, scope and timeline in writing, plus estimated monthly running costs and expected payback, with the math shown. Nothing starts until you sign.
-
Step 4: Build and test
The price in your proposal
About 1 to 6 weeks, depending on scope. Your proposal gives the dates. Estimate
- You
- Approve the rules in writing, like what it may say, book or quote. Answer questions as they come up. Test it on real calls, jobs, orders or invoices before launch.
- We
- Build it in accounts in your name, connect your tools, and test it on real situations, including the awkward ones. Changes you ask for are quoted before we do them.
- You get
- A working system, set up in accounts you own and tested by your team before it goes live.
-
Step 5: Training and handoff
Included
One or two sessions, about an hour each Estimate
- You
- Join a training session with whoever will use it day to day. Bring your questions.
- We
- Show your team how it works, how to change everyday settings and how to switch it off. Hand over the documentation. If you don’t take support, we remove our access.
- You get
- A one-page guide for your team, full documentation, and every account in your name.
-
Step 6: Results check and optional support
Results check included. Monthly support is optional.
A few weeks after launch, once there’s real use to look at Estimate
- You
- Tell us what’s working and what isn’t. Decide whether you want monthly support.
- We
- Go through the logs and the numbers with you, compare them with the proposal, and fix anything that doesn’t work as described in the agreed scope.
- You get
- A plain summary of what changed since launch, checked against the proposal. Then your choice: monthly support, month-to-month, or none.
What we need from you
What we need from you
Not much, but some of it can only come from you. Here’s what to plan for.
- A free call with whoever knows how the work actually gets done. Often that’s you.
- Access to the tools we’ll connect, with the accounts in your name. We ask for the least access that works.
- Your rules in writing, such as what the AI may quote, how bookings work and what gets handed to a person.
- One person on your team who can answer questions during the build.
- Time to test before launch on real calls, jobs, orders or invoices.
- A training session for you and whoever will use it day to day.
- A yes or no at each step. Nothing moves forward until you approve it.
What we commit to
What we commit to
The rules we work by. Hold us to them.
-
You own what we build
Your accounts, phone numbers and data are always yours. The code becomes yours when you own the build: pay for it up front, or buy out a managed plan at the price written in your proposal. Our reusable templates stay ours, and you get a permanent, free license to use them. Third-party software stays under its vendor’s terms.
-
No lock-in to us
Support is month-to-month, and a managed plan’s buyout price is written in your proposal. Everything is documented so anyone can maintain it. We flag any vendor contract longer than month-to-month before you sign.
-
We’ll tell you when automation isn’t worth it
Sometimes the better answer is a setting in a tool you already pay for, a change to how the work gets done, or doing nothing. When that’s the case, we say so.
-
Tools you already pay for come first
We start with the software you already have before suggesting anything new. We take no referral fees or commissions from software vendors.
-
Price in writing before any build
You see the price in writing before any build starts. Changes you ask for are quoted before we do them.
-
Running costs disclosed up front
Every proposal estimates the software and usage fees you’ll pay to keep things running.
-
The AI follows rules you approve
The AI only says and does what you’ve approved in writing: scripts, booking rules, and what it may quote. It never moves money or makes commitments outside those rules. Anything else goes to a person on your team.
-
Least access to your data
We use the least access that works, and every vendor that will process your data is listed in the proposal. Vendor training on your data is turned off wherever the vendor allows it. Our access is removed at handoff, or when you end support.
-
We fix what we built
If something doesn’t work as described in the agreed scope, we fix it free for 30 days after launch. Vendor outages or changes, edits by your team, and new requests are covered by support or quoted.
