CRM and workflow automation

Stop typing the same customer details into three systems.

We set up or clean up your CRM and connect the tools you already use. Customer details get entered once, work moves to the next person without a reminder, and you can see what’s open at a glance.

Know what you need? You’ll get a written quote after the call. No audit required.

Sound familiar?

  • Customer details live in your phone, a spreadsheet and the job app, and none of them match.
  • The same name, address and job get typed into two or three systems.
  • Jobs slip because a hand-off happened by text and nobody saw it.
  • You pay for a CRM that half the team ignores.
  • A simple answer, like how many quotes are still open, takes an afternoon in spreadsheets.
  • When the office manager is out, nobody knows where anything stands.

What we automate

  • One customer record

Calls, form requests, quotes, jobs and invoices for each customer land in one place, so anyone on the team can see the history.

  • Connecting tools that don’t talk

Your web form, job software, accounting and email pass details to each other. Nothing gets typed twice.

  • Automatic hand-offs

When a quote is accepted, the job is created and the crew lead is notified. When a job is marked done, the office gets the invoice ready.

  • Stalled-work alerts

A quote with no reply, a finished job with no invoice, a request nobody picked up. The right person gets a nudge.

  • CRM cleanup

Duplicate contacts merged, dead records archived and fields made consistent, so your reports are worth reading.

  • A simple dashboard

Open quotes, jobs booked this week, unpaid invoices and where new work came from. The few numbers you actually check.

Your day, before and after

A job request moves from inquiry to invoice

Example

Today

  1. A request comes in through the website form
  2. Someone retypes it into the CRM Then again into the job app and a spreadsheet
  3. The office texts the crew the address
  4. The paper job ticket rides around in a truck It reaches the office days later
  5. The invoice gets typed from the ticket Details missed or mistyped

After

  1. A request comes in through the website form
  2. Contact and job are created automatically One record, no retyping
  3. The crew gets the job details on their phone
  4. The crew marks the job done in the app
  5. A draft invoice is ready for review You approve it before it goes out
  6. The dashboard updates for tomorrow morning
An illustration of a common setup. Yours follows the tools you already use and the way your team actually works.

What it costs

The build is a one-time project. Running costs are what you keep paying the software vendors after we’re done.

One-time build

From $2,500 plus monthly software fees

Every build gets a written, fixed-scope quote before work starts. See all prices and what moves them.

Estimated running costs Estimate

CRM subscription Often $0 if you keep the CRM or job software you have. New small-business CRM plans run roughly $15 to $50 per user a month.
Automation platform (Zapier, Make or similar) Free tier to about $20 to $70 a month, depending on how many tasks run
Dashboard Usually $0, using reports built into your CRM or a free tool like Google Looker Studio
Monthly support from us (optional) See monthly support plans on the Pricing page

Estimates based on current vendor pricing. Your proposal names the exact vendors and fees before you commit. We check what your current plans already include before adding anything.

How long it takes

About 3 to 6 weeks from approved proposal to go-live, depending on how much data needs cleaning Estimate

Tools it commonly connects to

  • HubSpot
  • Pipedrive
  • Zoho CRM
  • Jobber
  • Housecall Pro
  • QuickBooks Online
  • Google Workspace (Gmail, Calendar, Sheets)
  • Microsoft 365 (Outlook, Excel)
  • Square
  • Airtable
  • Zapier
  • Make

We confirm your exact setup works before we quote. If something can’t connect, we tell you before you pay for anything.

When we’ll tell you not to do this

  • Your customer list fits in one spreadsheet and you rarely lose track of anyone. A shared spreadsheet and a calendar may be all you need.
  • Your job software already has a CRM and automations you aren’t using. Turn those on first. We’ll point you to them on the call.
  • The real problem is that nobody agrees on who does what. Software won’t fix that. Settle the process first, then automate it.
  • You want to switch CRMs over one missing feature. A setting, an add-on or a small workaround is usually cheaper than a move.

Set it up yourself or have it built?

Off-the-shelf is enough when

  • You have one main tool, and its built-in customer records and reminders cover your needs.
  • Your field-service or booking app already handles quotes, jobs and invoices in one place.
  • You have someone on the team with the time and patience to configure it.

A setup built for you adds

  • Connects the tools that don’t share data today, like your web form, job software, accounting and email.
  • Cleans and merges your existing records, so you start from one accurate list.
  • Hand-offs between people happen on their own, with alerts when something stalls.
  • A dashboard with the numbers you check every week, in one place.

If the tool you already pay for can do it, we’ll tell you which settings to turn on instead of quoting a build.

The details

What the setup includes

  • A map of where customer details live today, which tools to keep, and what each one should own.
  • CRM setup or cleanup: fields, pipeline stages and import of your existing contacts and jobs, with duplicates merged.
  • Connections between your form, job software, accounting and email, tested with real records before launch.
  • Hand-off rules: who gets notified, when, and what happens if nobody acts.
  • A one-page guide for your team: where to look, what to update, and how to spot a broken connection.

Everything is set up in your accounts, in your name. Automatic replies and follow-up to new leads are part of back-office automation.

What it won’t do

It won’t replace a conversation about who owns which job, and it won’t move money or send anything to a customer outside the rules you approve. Several systems and not sure where to start? An operations audit maps it first. It’s optional.

Questions about this

All questions and answers

Which CRM should we use?

Often the one you already pay for. Jobber, Housecall Pro and similar job apps include customer records, quotes and follow-up. Plenty of small businesses never need a separate CRM.

If you do need one, we compare two or three options, like HubSpot, Pipedrive or Zoho CRM, against:

  • How your team works. If your crew lives in a job app, the CRM should connect to it, not replace it.
  • Cost for your team size. Small-business CRM plans run an estimated $15 to $50 per user a month. Your quote lists the total.
  • Connections. It has to talk to your accounting, email and website form.
  • Ease of use. A CRM half the team ignores isn’t worth paying for.

You make the call. We take no referral fees or commissions from software vendors.

Switching CRMs over one missing feature is rarely worth it. A setting, an add-on or a small workaround usually costs less.

Our data is a mess. Can you still help?

Yes. A spreadsheet, a phone full of contacts and a couple of half-used apps is a normal starting point.

How we handle it:

  • Look first. Before we quote, we look at where your records live and how messy they are. Cleanup is scoped in the written quote, not discovered halfway through.
  • Keep a copy. We save a copy of your original data before changing anything.
  • Clean before connecting. Duplicate contacts merged, dead records archived, and names, phone numbers and addresses in one format.
  • You decide the edge cases. When two records disagree, we ask rather than guess.
  • Keep it clean. Once it’s running, details get entered once and copied automatically, so the mess doesn’t come back.

One exception: if your accounting books need cleanup, start with your bookkeeper. An automation copies mistakes faster.

Messy data can stretch the timeline, and we’ll tell you by how much before you commit.

Will this work with the tools we already use?

Tools you already pay for come first. QuickBooks, Xero, Jobber, Housecall Pro, Square, Toast, Google Workspace and Microsoft 365 all allow connections to other tools in some form. Each service page lists the tools it commonly connects to.

Before we quote, we check your actual setup:

  • Your plan. Some tools only allow outside connections on higher plans. If yours needs an upgrade, the cost is in the quote.
  • Your data. Whether the details we need can be read and written where they need to go.
  • Built-in settings. If your software already does the job with a setting you haven’t turned on, we’ll show you where it is.

If something can’t connect, you hear it before you pay for anything. Sometimes the fix is a shared spreadsheet in the middle or one small manual step. We don’t push you to switch software unless keeping it costs more than moving.

Getting tools that don’t talk to each other to share details is the core of CRM and workflow automation.

Who owns what you build?

You do. Some things are yours from day one, and the code is yours once you own the build:

  • Accounts and phone numbers are set up in your name, with you as the owner.
  • Data stays in your accounts.
  • Code and automations become yours when you own the build. Pay for it up front, or buy out a managed plan at the price written in your proposal.
  • Documentation comes with it, so anyone you choose can maintain the work.

Two things work differently:

  • Our reusable templates. Some building blocks, like a standard reminder flow, get reused across projects. Those stay ours. You get a permanent, free license to use them, so nothing stops working if you stop working with us.
  • Third-party software. Tools like QuickBooks or Jobber stay under their vendor’s terms. The accounts are still in your name.

There’s no lock-in to us either. Support is month-to-month, a managed plan’s buyout price is written in your proposal, and we flag any vendor contract longer than month-to-month before you sign. These commitments are part of the principles we work by.

  • Back-office automation

Invoices, data entry, reports, inbox sorting and lead follow-up handled without the late nights.

  • Custom AI integrations

Ask an AI assistant about your own jobs, customers and prices, with access you control.

  • Operations audit

Not sure where to start? Get a prioritized plan before you spend on a build.
