Custom AI integration with your business data

Stop digging through five systems to answer one question.

We connect AI assistants like ChatGPT or Claude to your own systems, with permissions you control. Ask questions about your jobs, customers and costs, draft quotes from your price list, and look up job history without hunting for it.

Know what you need? You’ll get a written quote after the call. No audit required.

Sound familiar?

  • Answering a simple question means opening three systems and a spreadsheet.
  • Only one person knows where to find past jobs, prices or vendor details.
  • You use ChatGPT or Claude, but it can’t see your business data, so you copy and paste all day.
  • Quotes take an evening because you’re hunting for past jobs and current prices.
  • You’d like an AI assistant to work with your systems, but you’re not sure what it could see or change.

What we automate

  • Questions about your own data

Ask in plain English and get answers from your real records. Which customers haven’t booked since spring? What did we spend on produce last month?

  • Draft quotes from your price list

The assistant builds a draft from your current prices and similar past jobs. You review it, change what you want, and send it.

  • Job and customer history

What was done at this address, which parts went in, when the warranty runs out. Pulled from your job software while the customer is still on the phone.

  • Approved actions

Add a note to a job, create a draft invoice, log a call. Only the actions you’ve approved. It never moves money.

  • Access by role

Each person’s assistant sees only what their role allows. A crew lead sees jobs and schedules, not payroll.

  • An activity log

Every lookup and action is recorded, so you can see what the assistant read and what it did.

Your day, before and after

A past customer asks for a quote on a repeat job

Example

Today

  1. A past customer emails for a quote
  2. You search old invoices for the last job Across email, the job app and a spreadsheet
  3. You check current prices in a separate file
  4. You type the quote that night The reply goes out a day or two later

After

  1. A past customer emails for a quote
  2. You ask the assistant what you did there last time It reads job history from your system
  3. It drafts a quote from your current price list Only prices you’ve approved
  4. You check it, adjust it and send it Nothing goes out without you

What it costs

The build is a one-time project. Running costs are what you keep paying the software vendors after we’re done.

One-time build

From $5,000 plus your AI assistant plan and hosting fees

Every build gets a written, fixed-scope quote before work starts. See all prices and what moves them.

Estimated running costs Estimate

AI assistant plan About $20 to $30 per user a month for a paid ChatGPT or Claude plan that allows custom connections. Many teams already pay for one.
Hosting for the connection Roughly $0 to $25 a month, depending on how much it’s used and where it runs
API access in your current software Usually $0. A few tools only allow outside connections on higher plans. We check yours before quoting.
Monthly support from us (optional) See monthly support plans on the Pricing page

Estimates based on current vendor pricing. Your proposal names the exact vendors and fees, and every vendor that will see your data, before you commit.

How long it takes

About 3 to 6 weeks from approved proposal to first use, depending on how many systems it connects to Estimate

Tools it commonly connects to

  • ChatGPT
  • Claude
  • Google Workspace (Drive, Sheets, Gmail)
  • Microsoft 365 (SharePoint, Excel, Outlook)
  • QuickBooks Online
  • Jobber
  • Housecall Pro
  • HubSpot
  • Square
  • Airtable
  • Your own database or spreadsheets

We confirm your exact setup works before we quote. If something can’t connect, we tell you before you pay for anything.

When we’ll tell you not to do this

  • The tool you want to ask about already has a built-in AI assistant or an official connector. Turn that on first. It may be all you need.
  • Your records live mostly on paper or in people’s heads. Get them into a system first. There’s nothing for the assistant to read yet.
  • Nobody on your team uses an AI assistant today. Try a paid plan on everyday tasks for a month before paying for a custom connection.
  • You want the AI to make payments or commit to prices on its own. We don’t build that.

Ready-made connectors or a custom integration?

Off-the-shelf is enough when

  • You mainly need the assistant to read documents in Google Drive, email or a popular app that already has an official connector.
  • Everyone can see the same information, so per-person permissions don’t matter.
  • You only need answers, not actions in your systems.

A setup built for you adds

  • Connects to the software ready-made connectors don’t cover, like your job software, POS or your own database.
  • Follows your rules, like which price list to quote from and which actions need a person’s OK.
  • Permissions by role, so each person sees only what they should.
  • A log of what the assistant read and did.

If a ready-made connector is enough, we’ll tell you which one to turn on.

The details

What the setup includes

  • A list of the questions and tasks you want help with, and the systems that hold the answers.
  • The connection itself, built on the Model Context Protocol (MCP), an open standard that ChatGPT, Claude and other assistants support. You aren’t tied to one AI company.
  • Permissions written down with you: who can see what, and which actions the assistant may take.
  • Testing with your real data before anyone relies on it, including questions it should refuse.
  • A one-page guide for your team: what to ask, what it can’t do, and how to read the activity log.

How your data is handled

We use the least access that works. Read-only comes first, and actions are added only when you approve them. Vendor training on your data is turned off wherever the vendor allows it. The connection runs in your accounts, in your name, and our access is removed at handoff or when you end support.

Questions about this

All questions and answers

What does "AI that works with our own data" mean in practice?

It means an AI assistant like ChatGPT or Claude that can read your own systems, so you stop copying and pasting into it.

Example questions you could ask:

  • “What did we do at this address last time, and what parts went in?”
  • “Which customers haven’t booked since spring?”
  • “What did we spend on produce last month?”
  • “Draft a quote for this repeat job from our current price list.”

What’s involved:

  • A connection between the assistant and the systems you choose, like your job software, QuickBooks or a shared drive.
  • Permissions by role. A crew lead sees jobs and schedules, not payroll.
  • Read-only first. Actions like adding a job note or drafting an invoice are added only if you approve them. It never moves money.
  • A log of everything it reads and does.

You review anything it drafts before it goes to a customer. It’s built on an open standard that several AI assistants support, so you’re not tied to one AI company.

Does our data get sent to AI companies?

Partly, and you should know exactly how. When an AI assistant answers a question, the records it looks up are sent to the AI company’s servers to work out the answer. That’s how these tools work.

What we control is how much, and on what terms:

  • Only what’s needed. The assistant can read only the systems and fields you approve. Payroll, bank details or anything else you rule out stays out of the connection entirely.
  • Training turned off. Wherever the vendor allows it, we turn off training on your data. Business plans often exclude it by default, and we check the current terms for yours.
  • Every vendor named. Your proposal lists each company that will process your data, before you sign.
  • Your accounts. The connection runs in accounts you own, and our access is removed at handoff or when you end support.
  • A log. You can see what the assistant read and when.

See how we handle data and system access on every project, and how custom AI integrations work.

How do you handle our data and system access?

The same rules apply on every project:

  • Least access that works. We ask only for the permissions a job needs. Read-only comes first.
  • Your accounts, in your name. Tools and automations live in accounts you own. Where a tool allows it, we get our own login that you can remove, instead of sharing yours.
  • Every vendor named up front. Your written quote or proposal lists each company that will process your data, before you sign.
  • AI training turned off. Wherever a vendor lets you turn off training on your data, we turn it off.
  • Access removed at the end. Our access is removed at handoff, or when you end support.

The AI tools we set up only say and do what you’ve approved in writing. They never move money. Anything outside the rules goes to a person on your team.

Who owns what you build?

You do. Some things are yours from day one, and the code is yours once you own the build:

  • Accounts and phone numbers are set up in your name, with you as the owner.
  • Data stays in your accounts.
  • Code and automations become yours when you own the build. Pay for it up front, or buy out a managed plan at the price written in your proposal.
  • Documentation comes with it, so anyone you choose can maintain the work.

Two things work differently:

  • Our reusable templates. Some building blocks, like a standard reminder flow, get reused across projects. Those stay ours. You get a permanent, free license to use them, so nothing stops working if you stop working with us.
  • Third-party software. Tools like QuickBooks or Jobber stay under their vendor’s terms. The accounts are still in your name.

There’s no lock-in to us either. Support is month-to-month, a managed plan’s buyout price is written in your proposal, and we flag any vendor contract longer than month-to-month before you sign. These commitments are part of the principles we work by.
