AI receptionist: phone and chat agents
Answer every call, even when you’re slammed.
An AI receptionist picks up when you can’t. It answers common questions, books appointments into your real calendar, and hands anything unusual to a person. You stop losing jobs to voicemail.
Managed plan: from $1,499 setup + $399/mo, with the phone line, up to 500 minutes a month, monitoring, fixes and small script changes included. Extra minutes are $0.35 each. Month-to-month, with 30 days’ notice to cancel.
Know what you need? You’ll get a written quote after the call. No audit required.

Sound familiar?
- Calls go to voicemail while you’re on a job, with a customer, or closed.
- Half your calls are the same five questions about hours, prices, service area and availability.
- Someone gets pulled off real work every time the phone rings.
- You return calls the next morning and the caller has already booked someone else.
- After-hours and weekend calls go nowhere.
What we automate
-
Answering in your business’s name
Picks up every call, day or night, with a greeting and script you approve.
-
Common questions
Hours, service area, the price ranges you’ve approved, what to expect. It answers only from information you’ve signed off on.
-
Booking
Checks open slots and books into the calendar or job software you already use, then emails a confirmation if the caller gives an email address.
-
Messages that are actually useful
Captures name, number, address and what the caller needs, and sends you a short summary by email.
-
Hand-off to a person
Emergencies, complaints and anything outside its rules get transferred to your phone or flagged for a callback.
-
Website chat
The same answers and booking in a chat box on your website, for people who’d rather type.
Your day, before and after
A call comes in while you’re on a job

What it costs
The build is a one-time project. Running costs are what you keep paying the software vendors after we’re done.
One-time build
Every build gets a written, fixed-scope quote before work starts. See all prices and what moves them.
Estimated running costs Estimate
| Phone number and calling platform | About $30 to $100 a month, depending on the provider |
|---|---|
| AI voice minutes | Roughly $0.10 to $0.30 per minute of conversation |
| Monthly support from us (optional) | See monthly support plans on the Pricing page |
Estimates based on current vendor pricing. Your proposal names the exact vendors and fees before you commit.
How long it takes
About 2 to 4 weeks from approved proposal to live calls Estimate
Tools it commonly connects to
- Your existing business phone number (calls forward to the agent)
- Google Calendar
- Microsoft Outlook calendar
- Calendly
- Jobber
- Housecall Pro
- Square Appointments
We confirm your exact setup works before we quote. If something can’t connect, we tell you before you pay for anything.
When we’ll tell you not to do this
- You miss fewer than a couple of calls a week. A better voicemail greeting and a callback routine may be all you need.
- Most of your calls are complex sales or sensitive conversations that need a person every time.
- An off-the-shelf answering service already does what you need. We’ll tell you to keep it.
Off-the-shelf service or a custom setup?
Off-the-shelf is enough when
- You mainly need calls answered and messages taken after hours.
- Bookings don’t need to land in your real schedule.
- A monthly subscription with no setup fee fits your budget better.
A setup built for you adds
- Books into your actual calendar or job software, following your rules.
- Answers from your approved prices, service area and policies.
- Sends new leads straight into your CRM or follow-up system.
- Hands off to the right person on your team, not a generic message box.
If an off-the-shelf tool is enough, we can set it up and tune it for a smaller one-time fee. It’s listed on the Pricing page.
Off-the-shelf setup: From $750
Rules we set up for you
Phone rules are strict, and getting them wrong lands on you. We build them in from day one.
-
Clear AI disclosure
Callers hear that they’re talking to an automated assistant, and they can ask for a person at any point.
-
Recording notice
If calls are recorded or transcribed, the greeting says so first. Some states require every caller’s consent before recording.
-
Inbound only by default
The agent answers calls. It doesn’t make outbound sales calls with an AI voice. Federal rules (the TCPA) require written consent from the person being called before those calls.
We configure this to follow the rules where you operate, but we’re not lawyers. Confirm anything specific to your business with your attorney.
The details
What the setup includes
- A call script and question list written with you, in plain language, and tested on real call recordings before launch.
- Booking rules: which services, which hours, how much notice, which slots stay free for emergencies.
- A hand-off plan: who gets transferred, when, and what happens if nobody picks up.
- A one-page guide for your team: how to change hours, update answers, and read the call log.
What it won’t do
It won’t quote prices you haven’t approved, promise dates outside your rules, take payments, or argue with an upset customer. Those go to a person. You can read every call summary, and you can turn it off and send calls back to your regular line yourself.
Questions about this
Will callers know they’re talking to AI?
Yes. We set it up that way on purpose.
- It says so up front. The greeting tells callers they’ve reached an automated assistant for your business.
- A person is always an option. Callers can ask for someone at any point. The call transfers to your phone or gets flagged for a callback, following the hand-off plan you approve.
- It doesn’t pretend. The voice is natural and easy to talk to, but it never claims to be a person.
- It sticks to your script. It answers only from information you’ve approved, like your hours, service area and price ranges.
Rules on disclosing AI in calls vary by state and keep changing. Telling every caller up front is the simplest way to stay on the right side of them, and it’s honest.
We’re not lawyers, so confirm anything specific to your business with your attorney. See the full list of rules we set up for an AI receptionist.
Is it legal to record or transcribe calls?
Usually, if callers are told first. The rules depend on where you and your callers are.
- One-party consent. Federal law and many states allow recording when one person on the call consents.
- All-party consent. Some states require everyone on the call to agree before it’s recorded.
- Calls across state lines. When the caller is in another state, the stricter rule may apply. Following the strictest rule is the safe default.
What we set up:
- The greeting says the call may be recorded or transcribed, before the conversation starts. Callers can hang up or ask for a person.
- If you don’t need audio kept, we turn off recording storage where the vendor allows it and keep only the written summary.
- Recordings and transcripts stay in accounts you own, for as long as you choose.
This is general information, not legal advice. We configure it for the rules where you operate, but we’re not lawyers. Confirm the details with your attorney.
Why not just use an off-the-shelf AI answering service?
You might not need anything more. An off-the-shelf service is often enough when:
- You mainly need calls answered and messages taken after hours.
- Bookings don’t need to land in your real schedule.
- A monthly subscription with no setup fee suits your budget better.
A setup built for you adds:
- Booking into your actual calendar or job software, following your rules for job length, notice and service area.
- Answers from your approved prices, service area and policies.
- New callers sent straight into your CRM or follow-up.
- Hand-offs to the right person on your team, not a generic message box.
There’s a middle option too. If an off-the-shelf tool is close, we can set it up and tune it for a smaller one-time fee, listed on the Pricing page.
On the free call, we’ll tell you which fits. See what the full AI receptionist setup includes.
What happens when something breaks?
Software changes. A vendor updates its app, a password expires, or someone edits a step. Here’s how that’s handled:
- We fix what we built. If something doesn’t work as described in the agreed scope, we fix it free for 30 days after launch.
- What that doesn’t cover. Vendor outages or changes, edits by your team and new requests. Those are covered by monthly support, or quoted before we do them.
- After that, your choice. Monthly support plans cover monitoring, fixes and small changes, month-to-month. Without support, we quote any fix before doing it.
- Alerts when a step fails. You get an alert, so an error gets spotted early instead of by a customer.
- An off switch. You can pause or turn off any automation yourself. Your team’s guide shows how, and the work goes back to the old way until it’s fixed.
Everything is documented, so you or anyone you choose can maintain it. You’re not tied to us.
